These guides provide general preparation questions. They do not replace equipment-specific instructions, a shipment-specific transportation review or the terms agreed for your move.

Know Your Equipment
Start With the Actual Item
Record the equipment make and model, quantity and operating condition. Identify attachments, accessories, loose components and anything being shipped separately. For a machine purchased from a seller or auction, ask the release contact to confirm what is included in the shipment.
Share Documents and Photographs
Use available specification sheets, drawings and clear photographs to explain the equipment. Say where a dimension or weight comes from and flag anything that still needs checking. A photograph helps describe the load but does not by itself establish the transport dimensions or weight.

Dimensions & Weight
Describe the Transport Configuration
Provide length, width and height in a clearly stated unit. Explain whether attachments are folded, detached or loaded separately. Record the configuration expected for pickup rather than assuming that operating dimensions match the transport configuration.
Distinguish Each Piece From the Total
For several pieces, list dimensions and weight for each item and identify the total shipment weight separately. Include any shipping cradle, skid or packaging in the information. If exact figures are unavailable, identify the uncertainty rather than presenting an estimate as confirmed.

Discuss the Trailer
Bring the Loading Method Into the Plan
Tell the team whether the equipment can drive or roll, whether loading assistance is available and whether a crane, forklift or other handling equipment is expected. A trailer discussion needs to account for the actual machine and its loading method.
Ask About the Proposed Arrangement
Flatbed, step-deck, lowboy, removable-gooseneck and other specialized options serve different requirements. Ask how the proposed setup fits your load and who will perform the transportation. Heavy haulers need accurate equipment information to discuss the appropriate arrangement; the final setup should be confirmed for the specific shipment.

Pickup & Delivery Sites
Confirm Who Can Release and Receive the Load
Provide a contact name and telephone number at both ends. Check collection and receiving hours, release documents and any appointment requirements. Explain who is responsible for loading and unloading and what assistance is available.
Explain Access Restrictions Early
Describe gates, narrow access, site procedures and any limitations known to the shipper or receiver. Do not assume a location can accommodate the proposed transportation equipment. Ask the relevant site contacts and transportation team to review access before scheduling.

Prepare for Pickup
Follow the Equipment’s Instructions
Consult the equipment owner or manufacturer’s instructions for transport preparation. Ask qualified personnel to address questions about folding, disassembly, lifting points, fragile components or special handling. Do not operate, climb on or alter equipment merely to obtain a measurement when doing so would be unsafe.
Identify Items That Need Separate Handling
Discuss loose attachments, tools, accessories and other separate pieces before pickup. Clarify who will prepare them for transportation and whether their dimensions, packaging and weight have been included in the shipment details. Confirm the plan with the people responsible for the equipment.

Oversize & Specialized Loads
Share Complete Specifications
For unusually large, heavy or complex freight, provide available drawings, weights, dimensions and handling instructions. Explain support points, cradles or other equipment-specific requirements supplied by the owner or manufacturer. Describe the configuration accurately before a transportation plan is finalized.
Discuss Route-Dependent Needs
Ask the transportation team to review routing, permit or escort considerations for the specific load and route. A general guide does not determine whether a shipment needs a permit or an escort. Avoid setting a pickup expectation before the required planning and arrangements have been reviewed.

United States–Canada Moves
Identify the Parties and Locations
Share the complete origin and destination, equipment details and shipper and receiver contacts. State whether the move crosses the border or takes place within Canada. Coverage must be discussed for the actual route and load.
Clarify Customs Arrangements
Identify who will handle customs arrangements and which party will provide the necessary shipment information. Bring that person or organization into the planning conversation before scheduling. Canadian service coverage does not mean customs brokerage is included in the transportation quote.

Review Before Booking
Compare the Same Shipment Information
Give each provider consistent dimensions, weights, locations and loading details when requesting quotes. Ask what is included and what assumptions remain. When comparing heavy haulers, review the transportation arrangement and responsibilities along with the quoted price.
Confirm Changes and Commitments
Preferred dates are requests until confirmed through the booking process. If equipment details, locations or dates change, contact the team coordinating the move and review any effect on the arrangement. Keep the quote and shipment records available for reference.
